Use reference points when you want to organize submissions not only by date or title, but by what they actually relate to — for example a customer, object, asset or job. In service teams, facility management, electrical trades or property management, reports and protocols add up quickly. Reference points attach every document to the right context: all visits at Müller GmbH, all maintenance on one heat pump, or all protocols for one building — found in a few clicks, instead of searching through folders, Excel lists or email threads.

Set up reference points on your protocol
Open your protocol in the editor and switch to Settings. In the Reference point section, define what submissions from this protocol should relate to. You can enable a main reference, sub reference and optionally an additional reference, depending on how precisely you want to filter and find documents later.
Understand main, sub and additional references
The main reference is the broad assignment, such as customer, object or building. The sub reference adds detail, for example an asset, unit or area. The additional reference is optional and works well for extra details like a job ID or inspection period. On a service report, that might look like: Müller GmbH / Heat pump WP-2024-1182 / Maintenance Q3 2026, so every submission stays clearly assigned.
Assign a reference point while filling out
When you start a new submission, choose the matching reference point while filling out, or add it afterwards. The technician documents the service visit on site, and the submission is immediately linked to the right customer and asset. If you have linked databases, you can pick entries from your customer or object list instead of retyping everything each time.
Filter submissions and view history
Under Submissions, the Reference point column shows at a glance what each report belongs to. Filter by customer, object or date range to find all previous visits for Müller GmbH or a specific asset. Individual protocols become a traceable history. That is ideal for maintenance contracts, recurring inspections or handover to the office.
Use reference points consistently
Assign a reference point to every submission. The more consistently your team does this, the less time you lose searching later. Reference points complement labels and search: labels mark status or topics, reference points structure the professional link to an object or customer. Together, they help ensure nothing gets lost in ProtocolHero as your business grows.
